Order Questions Answers
How do I perform post-event reporting with a work order? Select "Yes" when assigning a work order for the first time and fill in the required information (Result, Time, Part Information, and Cost Information). The work order status will become "Closed" and be recorded in the platform.
What is the difference between returning and cancelling a work order? 'Return Work Order' is typically used for work orders created by mistake and can only be done before the administrator assigns it for the first time. You need to select a reason for returning. 'Cancel Work Order' can be done for any reason. However, neither returned nor canceled work orders can undergo any subsequent operations.
What happens if one or all of a work order's operators have their accounts deactivated? If a work order is not yet completed and all operators' accounts are deactivated, the work order will automatically revert to the "Created" status and can be reassigned by the administrator. If at least one operator's account remains active, the work order can be continued by the remaining operators. If a work order has already been completed, it will not be impacted by the deactivation of operator accounts.
Can a work order be reassigned if it was wrongly assigned to someone? Yes. When an assigned work order is in "Assigned" status, the assigned operator can initiate a transfer request in the Akila App. If the request is approved by the administrator, the work order can be reassigned to another operator. The administrator can also directly click the "Reassign" button to initiate reassignment.
Can I add more operators to a work order during execution? No. It is not possible to add or change the operators of a work order after it has been started (after entering the "In Progress" status).
How many times can a work order be assigned? No limitation. When the assigned work order is in "Assigned" status, the assigned operator can initiate a transfer request in Akila App, and if the request gets approved by the administrator, the work order can be reassigned to another operator. Meanwhile, the administrator can also directly click the "Reassign" button to initiate the reassignment.
What's the difference between evaluating and spot checking a work order? Evaluating is necessary, for administrators who have the permissions on Mobile App, after operators carrying out and submitting work orders. If the result is "Pass", then the work order's status will become "Closed". If "Fail", the work order must be re-operated. Spot checking is an optional choice, for users with this authority on web/mobile app, after the work order's status become "Closed".
Can I add/assign/cancel/ return work orders in batch? No, you can now only batch export work orders.
When are jobs generated after adding an inspection plan? When an inspection plan is successfully created, it immediately generates inspection jobs for the remaining time of the day and the entire next day. After that, the next full day's work (if any) is automatically generated until the end of the plan. Moreover, if the plan is edited with new frequency added, additional inspection jobs for the remaining time of the day and the next day will be generated immediately.
Can I set an inspection plan to skip public holidays? Yes. You can select holidays when adding or editing an inspection plan, and choose to "Skip the work" or execute at "Holiday inspection time". When a job's date falls on a holiday, it will follow the holiday settings.
Can I cancel or reschedule an inspection job? Inspection job supports cancellation after it has been generated, but rescheduling is not currently supported. However, you can change the timing of future inspections by editing the inspection plan.
What is the difference between spot inspection and group inspection? The objects of spot inspection are equipment, while group inspection targets locations. Group inspection can be configured to execute in order (via the Is Route? setting), but spot inspection has no order requirement. The Maintenance Management module includes both spot inspection and group inspection, but Workspace Management only has group inspection.
